2) Scope

This Privacy Policy explains how we collect, use, and share personal information when you visit our website, communicate with us, or use our services. We primarily sell to businesses, but this Policy also covers information about our clients’ personnel and end users who interact with our services or communications channels integrated by our clients.

3) Controller vs. Service Provider

  • Controller: We act as a controller for information we collect about prospects, site visitors, vendors, and direct business contacts (e.g., billing contacts, account admins).
  • Service Provider/Processor: When our client uses our services to process data about its own customers or users, we act as a service provider (processor) and process that data only under the client’s instructions and our agreement. Clients are responsible for their own privacy notices and honoring applicable rights of their end users.

4) How We Collect Information

  • Directly from you or our clients (e.g., account setup, number provisioning, support tickets, messages/calls).
  • Automatically through logs, diagnostics, and analytics when you use our website or services.
  • From carriers and messaging platforms as needed to route and deliver calls and messages (e.g., call detail records, delivery metadata).
  • From vendors and partners that help us provide hosting, security, billing, or other service functions.

5) What Information We Collect

We do not sell personal information. We may collect:

  • Identifiers & contact details — name, business title, company, email address, phone number, mailing address, login credentials.
  • Account & service configuration — account IDs, roles/permissions, number assignments, extensions, device provisioning details, feature toggles, and preferences.
  • Communications content & metadata — call audio/voicemails/recordings (if enabled), transcriptions (if enabled), message/email/chat content, attachments, sender/recipient details, timestamps, delivery/read status.
  • Call Detail Records (CDRs) — caller/callee numbers, date/time, duration, routing, completion status, and other attributes used for routing, billing, compliance, reporting, and fraud prevention.
  • Quality of Service (QoS) data — metrics such as jitter, latency, packet loss, and mean opinion scores to monitor and improve call quality.
  • Device & network data — desk phone or client device identifiers, IP addresses, user-agent, operating system/app version, connection type. IP addresses may infer approximate geolocation.
  • System logs & diagnostics — authentication logs, error/debug logs, signaling traces, and other telemetry used to operate and secure our services.
  • Billing & transactions — plan details, invoices, payment tokens via our payment processors, transaction history, tax/compliance documents.
  • Support interactions — tickets, chat transcripts with support, and feedback.
  • Aggregated/internal analytics — de-identified or aggregated statistics (e.g., calls per customer, monthly totals) used for capacity planning, reliability, and service improvement.

We do not use AI/ML to process communications content or profile individuals.

6) How We Use Information

  • Provide, operate, and improve our services, including number provisioning, routing, and feature enablement.
  • Authenticate users; detect, prevent, and investigate fraud, abuse, spam, or security incidents.
  • Monitor and maintain call quality using QoS metrics and diagnostics.
  • Generate internal dashboards and reports (e.g., usage summaries, capacity planning) and provide client-requested service reporting.
  • Provide customer support and fulfill contractual obligations.
  • Send transactional/service communications; where permitted by law or with consent, send marketing communications (opt-out available).
  • Comply with legal obligations (e.g., lawful requests, subpoenas) and enforce our terms.
  • De-identify or aggregate data for analytics and service improvement.

7) How We Share Information

We do not sell, rent, or trade personal information. We may share data as follows:

  • Service providers that host, process, deliver, or support our website and services (e.g., infrastructure, security, analytics, billing). They may use data only under our instructions and with appropriate safeguards.
  • Carriers and channel providers to route and deliver calls, SMS/MMS, email, and chat messages.
  • Payment processors to process transactions and manage billing.
  • Legal/safety to comply with applicable law, respond to lawful requests, or protect rights, property, or safety.
  • Business transfers such as merger, acquisition, or asset sale; successors will be bound by this Policy or a substantially similar one.

8) Channel-Specific Disclosures (VoIP, SMS, Email, WhatsApp, Telegram)

  • VoIP & calls: Call recording may be enabled by clients or as required for support/quality. Where recording is active, reasonable notice/consent mechanisms will be provided as required by law. CDRs and QoS metrics are used for routing, billing, support, quality, and compliance.
  • SMS/MMS: We send texts only with proper consent where required. Recipients can opt out by replying “STOP.” Standard message/data rates may apply.
  • Email: Marketing emails include an unsubscribe link. Transactional emails may still be sent as needed to provide services.
  • Messaging platforms (e.g., WhatsApp, Telegram): If a client enables an integration, message content and related metadata are processed as necessary to deliver communications and enforce platform policies. Please review the relevant platform’s privacy terms. We process such data only to provide the requested features and support.

9) Cookies & Website Analytics

Our public website may use cookies or similar technologies to operate the site, remember preferences, and analyze usage. We do not intentionally sell data or run targeted advertising in our services. However, website hosting or analytics providers may place cookies subject to their own privacy practices. You can manage cookies in your browser settings; some features may not function without them.

10) Data Retention

We retain information as long as necessary to provide services, comply with legal obligations, resolve disputes, and enforce agreements. Clients may configure retention for certain data within their accounts, subject to legal and technical constraints. When data is no longer needed, we will delete or de-identify it within a reasonable period, unless a longer retention period is required by law or for legitimate business purposes (e.g., billing records, fraud prevention, legal holds).

11) Security

We implement administrative, technical, and physical safeguards designed to protect personal information. For Massachusetts residents, we maintain a Written Information Security Program (WISP) consistent with 201 CMR 17.00. No method of transmission or storage is 100% secure; we strive to protect your information and will provide notifications of certain incidents as required by law.

12) Your Rights & Choices

  • Access/Correction/Deletion: If we are the controller, you may request access to, correction of, or deletion of your information by contacting us at info@innovatsolution.com. If we process your data on a client’s behalf, please contact that client directly; we will assist them as required.
  • Marketing opt-out: Use unsubscribe links in emails or reply STOP to SMS where supported.
  • Device/app permissions: Manage permissions (e.g., microphone, notifications) in your device or app settings.

We do not engage in automated decision-making about individuals in our services, and we do not use AI/ML to analyze communications content.

13) Customer Proprietary Network Information (CPNI) – U.S.

U.S. telecommunications law protects the confidentiality of CPNI, which includes information we obtain in providing interconnected VoIP services (e.g., numbers dialed and received, call time and duration, service plan details, and related usage data). CPNI does not include basic subscriber information such as name, telephone number, and address.

We use CPNI to provide services (including billing and support), prevent fraud and abuse, and, where permitted, to offer communications-related products or services. Our personnel may access CPNI only with authorization and a legitimate business need. We do not sell CPNI. You may opt out of our use of CPNI for certain marketing of communications-related services at any time by emailing info@innovatsolution.com. Your decision will not affect your underlying service.

14) State Notices: Florida, Massachusetts, New Jersey

  • Florida: While many obligations under Florida’s privacy laws apply primarily to larger businesses, we honor reasonable requests from Florida residents to access, correct, or delete their information, subject to lawful exceptions. We do not sell personal information.
  • Massachusetts: We comply with 201 CMR 17.00 and maintain a WISP for Massachusetts residents’ data.
  • New Jersey: We comply with New Jersey consumer protection laws and honor reasonable privacy-related requests consistent with applicable law.

15) International Users & Transfers

Our services are primarily provided in the United States. If you access them from outside the U.S., your information may be transferred to and processed in the U.S. or other countries with different data protection laws than those in your jurisdiction.

16) Children’s Privacy

Our services are intended for business use and are not directed to children under 13. We do not knowingly collect personal information from children. If you believe a child has provided us information, please contact us for deletion.

17) Do Not Track

Some browsers send “Do Not Track” signals. Our website does not respond to such signals at this time.

18) Service Providers

We use trusted third parties for hosting, connectivity, messaging delivery, analytics, payments, support, backups, and security monitoring. These providers process data only under our instructions and with appropriate safeguards. A current list of provider categories is available upon request.

19) Data Deletion Requests

If we are the controller for your data, you may request deletion by emailing info@innovatsolution.com with the subject line “Data Deletion Request” and sufficient details to identify your account or communications (e.g., phone number, email, message timestamps). If we process your data on a client’s behalf, please contact that client directly; upon their verified instruction, we will delete or de-identify personal information subject to legal and technical constraints.

20) Changes to this Policy

We may update this Policy from time to time. We will post the revised version with an updated “Effective date.” Material changes may be communicated via website notice, email, or portal notification.
